Job Description

We are seeking a dedicated and detail-oriented Receptionist to manage front desk operations in a dynamic insurance office. This role involves greeting visitors, managing incoming and outgoing communications, and supporting office administration. The ideal candidate will have excellent communication skills and the ability to multi-task efficiently in a fast-paced environment.

Responsibilities

Greet visitors and inquire about their needs upon entry.

Route incoming calls to appropriate employees, handling 100-200 calls per day.

Manage all incoming and outgoing mail, including FedEx and UPS packages.

Schedule and manage meeting room bookings, updating calendars as necessary.

Order and maintain office supplies on a weekly basis.

Perform mail routing duties, including scanning documents and downloading from carrier websites.

Cover calls and mail routing for multiple locations when needed.

Essential Skills

Proficiency in MS Outlook, Word, Excel, and Adobe.

Excellent written and verbal communication skills.

Minimum of 1 year experience in administrative, receptionist, or customer service roles.

Experience with computers and office equipment such as scanners and phones.

Detail-oriented and capable of multi-tasking.

Work Environment

The position is based in a quiet, professional insurance office within a shared office building. The work schedule is from 8:30 am to 5:00 pm with an hour for lunch. Business professional attire is expected, with business casual allowed during summer months. The office is currently closed to the public, with most employees working remotely. The receptionist will work on-site with approximately 3-5 other employees. Interaction with the public is limited to essential service vendors. Safety measures, including masks and social distancing, are in place.

Pay and Benefits

The pay range for this position is $18.00 - $18.00/hr.
